Kilimani Heights Properties

Automating rent collection for 240+ Nairobi rental units

On-time rent collection rose to 92%, reconciliation dropped from a full day to under four hours per week, and tenants access statements without calling the office.

Property Rental Management (RMS) LeefiPay

Challenge

Tenants paid via multiple Paybills and M-Pesa numbers. Property managers spent hours matching payments to units, chasing arrears by phone, and preparing owner statements manually.

Solution

Altify implemented RMS with per-unit invoicing, LeefiPay Paybill aggregation, and a tenant self-service portal for statements, receipts, and maintenance requests.

Impact

On-time rent collection rose to 92%, reconciliation dropped from a full day to under four hours per week, and tenants access statements without calling the office.

The situation

Kilimani Heights Properties managed a mixed portfolio — apartments, commercial suites, and short-stay units — across Kilimani and Lavington. Payment fragmentation was the biggest drain: every building had a different Paybill, and arrears follow-up relied on personal phone calls.

Our approach

We configured RMS as the single source of truth for leases, billing cycles, and owner reporting. LeefiPay ingests M-Pesa and bank deposits, matches them to invoices automatically, and flags exceptions for the accounts team.

Tenants received SMS reminders with Paybill details and a portal link. Owners get monthly statements without manual spreadsheet work.

What changed

The property team shifted from payment chasing to tenant experience and maintenance coordination. Arrears are visible on day three, not day thirty.

"Rent week used to mean three people on phones all morning. Now the system tells us exactly who paid and who needs a reminder." — Portfolio Manager, Kilimani Heights
